Welcome email sequence template

The first five emails
after someone says yes.

A welcome email sequence is a short run of automatic emails, usually three to five over the first week, that starts when someone joins your list. Email 1 delivers what they signed up for straight away. The next ones introduce you, help with one real problem and show proof, and the last makes one clear invitation. Every delay counts from the moment they signed up. The generator below writes all five for a shop, a service business, a newsletter or a free download, with merge tags for Builderify, Mailchimp, Kit, Klaviyo or Brevo. If you’re leaving Mailchimp’s free plan because it has no automations, Builderify’s Sequences send these from your own domain on 250 free credits a month.

01 / The five emails

What goes in a welcome email sequence,
one job per email.

Each email does one thing, in an order that earns the next. Short on time? Send just Deliver, Help and Invite on days 0, 2 and 5; the generator has that version too.

  1. 01
    Day 0

    Deliver

Send what they signed up for the moment they confirm, with the link near the top, and say what the next few emails will bring.

    Subject
    Your welcome code is inside

  2. 02
    Day 1

    Introduce

A few lines on who you are and why you started, so your name means something the next time it lands.

    Subject
    Why we started Northfield Ceramics

  3. 03
    Day 3

    Help

One useful thing they can act on this week: a tip, a short guide, or your three best sellers. Nothing to buy.

    Subject
    Where most people start

  4. 04
    Day 5

    Prove

A real review, client story or reader reply, quoted with permission. Someone else’s words do what adjectives can’t.

    Subject
    What customers say

  5. 05
    Day 7

    Invite

One clear next step, whether that’s a purchase, a call, a reply or a share. Then say how often you’ll write from now on.

    Subject
Your welcome code is still waiting

Before day 0 there’s one more email: the confirmation link. Builderify sends it to every new signup, and the sequence starts when they click it. If the invitation in email 5 mentions a deadline, it has to be a real one; the countdown timer guide explains why.

Each delay counts from the moment they confirm, not from the email before, which is how Builderify schedules them too. A sending window holds email 1 as well, so someone who signs up at night waits until morning for what they asked for. For a welcome sequence, leave the window off.

03 / Before you switch it on

Eight checks before
the first email goes.

A welcome sequence runs for months without you looking at it. These are the things worth getting right once, from Gmail’s sender rules and the US and UK email laws.

04 / With Builderify

A welcome sequence that starts
at the signup form on your site.

People who sign up through a popup, a quiz or a booking land in one of your lead lists. Builderify emails each of them a confirmation link, and the moment they click it, the Sequence on that list starts. Paste the emails from section 02 into its timeline, or start from the built-in Welcome series.

What Sequences do

  • Starts on its own when someone confirms a signup from a popup, quiz, booking, download, chat, contact or call-back form
  • A ready-made Welcome series to start from: three emails on days 0, 2 and 6
  • Delays count from signup, and a fixed typo reaches only the people who haven’t had that email yet
  • Merge tags for first name, last name, full name, email and the unsubscribe link
  • A one-click unsubscribe header and footer link on every email; anyone who unsubscribes or hard bounces leaves the sequence
  • Replies arrive in your Builderify Inbox
  • Sent, opened and failed counts for every email, and a pause button

Know this first

  • Sends from your own domain only: add its DNS records, and a person reviews each new sender, usually within one business day
  • No branches or conditions: everyone gets every email, in order
  • Doesn’t stop when someone replies or buys
  • Counts opens, not clicks
  • {{first_name}} has no fallback, so use “Hi there,” if you don’t ask for names
  • The optional sending window is set in UTC and holds email 1 too
  • No CSV import yet: add existing contacts one at a time, then enrol the list

Questions

Welcome sequences, before you ask.

A short series of automatic emails that starts when someone joins your list, usually three to five over the first week or two. The first delivers what they signed up for straight away; the rest introduce you, help with one real problem, show proof and end with one clear invitation.

There is no fixed rule. Five over a week gives each email one job: deliver, introduce, help, prove and invite. If you are short on time, three on days 0, 2 and 5 that deliver, help and invite still cover the essentials.

Straight away, the moment someone signs up or confirms their address. They are waiting for what you promised, so don't hold the first email for a sending window or a weekday. Later emails can wait for working hours if your audience is a business one.

What they signed up for, near the top; who it is from, in a name they recognise; what the next emails will bring and how often you will write; a way to reply; an unsubscribe link; and, under the US CAN-SPAM Act, a valid physical postal address.

Mailchimp's free plan has no automations. Builderify Sequences start on their own when someone confirms a signup from your site, with a ready-made Welcome series, and run on 250 free credits a month: 1 credit per new lead and 0.5 per email at the published rates, which covers about 71 signups a month on a five-email sequence. You send from your own domain.
